Instructions for oral presentations
Equipment:
Each room will be equipped for presentation of Power Point slides, including sound system, a computer (connected to the sound system), data projector and lectern. Multimedia clips should be embedded in the slides.
Loading presentations:
Starting from Sunday evening, but not later than during the poster session that precedes the assigned parallel session, presenters will provide their slides (and associated files) on a memory stick to one of the onsite dedicated organisers who will load the presentations on the computer. The title of the file should start by the number of the parallel session (e.g. L2.1, L2.2, L3.1 etc…), followed by the complete name of the presenting author.
Instructions for oral presentations:
Five parallel sessions for offered abstracts selected for oral presentation will be organised in different meeting rooms. Please make sure that you attend the correct parallel session (cf. programme). Also, please check the detailed synopsis of sessions to better adapt your presentation to the expectations and specificities of your selected/re-assigned session.
Each parallel session starts with 2 keynote talks by distinguished speakers identified by the Scientific Committee of the Conference.
Then one and a half hour is dedicated to posters and a coffee break.
Finally, oral presentations are allocated 13 minutes to speak. At the end of all offered oral presentations, 30 minutes will be allocated for discussions with all the speakers.
Two minutes will be provided for changeover. Presenters are asked to avoid too broad an introduction to allow sufficient depth in the talk.
Presentation preparation guidelines:
Please use this conference PowerPoint template for the preparation of your presentation. Your slides (in English) should be a visual aid supporting your talk (in English) therefore it is better to have more images than text in your slides. A minimum of 18‐point font size for the text is recommended. Contrasting colours between background and text is advisable. Finally, please be aware of the time limit and prepare a realistic number of slides.

Presenters should register at the Welcome desk on arrival at the conference venue.
Posters will be allocated a panel that will be displayed for the duration of the poster session to which it has been assigned. Materials to attach posters will be provided by the conference organisers. Poster presenters are responsible for setting up and removing their poster before and after the allocated poster session. To find out the time frames for mounting and removing the posters for each poster session, please refer to the table below.

Please check this document to find out to which poster session your abstract has been assigned and to note the number that has been allocated to your abstract. When mounting your poster, you will need to check the poster panels and find the one numbered the same as your abstract.

Poster guidelines
The available surface for your poster is adapted to A0 format: • 117 cm (height) x 96 cm (width) • 46.5 in (height) x 37.8 in (width)

Poster preparation guidelines:
The posters should be no larger than A0 format: • 117 cm (height) x 96 cm (width) • 46.5 in (height) x 37.8 in (width), in portrait format (no landscape). See poster size and orientation in the left image. Authors are asked to attend their poster during the allocated poster viewing time to discuss their work with the other delegates.
Your posters (to be written in English) should be a stand‐alone visual representation of your submitted abstract. The title of your poster should be the same as the abstract and authors’ names should be included. The poster should be readable from up to 2 metres. 48‐ to 60‐point font size is recommended for headings and 24‐ to 32‐point font size for the content. Text should be concise and easy to read. Enhance your message with colour and pictures by presenting results and concepts graphically. Figures should not be smaller than 12 cm x 18 cm and all figures require short, informative captions. |
